Tips and Suggestions for first time Team Managers
Thank you for agreeing to be team manager for the coming season. Your involvement is greatly appreciated as without it, the Club would not be able to function. You will find a great deal of useful information on the website (www.ivanhoeknights.org) to assist you with managing the team and helping parents to score at games. The team lists will be put up on presentation night, and you will be emailed a copy of that a few days later. If you don’t have email then pick up a copy of the team list at the presentation night or contact the relevant boys or girls Registrar to get the list. Please make sure that you give your email address to the Team Manager Co-ordinator, if you haven’t already done so.
1. Training starts the first week of Term 4 and the first round (game) is on the following Saturday (October 11). 2. Please phone your coach and team members to remind them of their training night and time. Check for doubled-up numbers: The player who has played for the longest usually has priority to retain their number, unless one of them needs a new singlet anyway. The second player can usually arrange to borrow another singlet from Cathy Turner for the season. 3. Draw up a roster of duty parents who will be responsible for scoring, collecting money and paying the venue managers at their assigned games. [If the coach comes from one of the families, that family should not be put on the roster.] The same parent should, in the week before the duty day, supervise training if the coach is aged under 18 years. (On average, each parent will be called upon to do duty about 2-3 times during the season). The best way to avoid you being stuck with the job if someone can't make it is to advise parents that if they can't be there on their rostered day, it is THEIR responsibility to organise a swap with someone else. I suggest that you use email to contact parents if you can. That way you can readily send out reminders. 4. Copy the team list, venue locations, "Duty Parents" sheet & the other material on scoring, referees signals, etc that can be found on the club website or can be emailed to you. At the first training, give out this material and the fixtures, clearly marked with the duty parent for each game. I have included an electronic copy of the duty parent letter for you to tailor as needed for your teams situation. 5. During the first part of the season, you will have to pick up fixtures a couple of times. For this season, collection of fixtures will be from Meredith Donaldson’s home at 8 Wilfred Road, Ivanhoe (just near The Boulevard). There are 2 fixtures boxes – one for the girls' teams, the other for the boys'. Whenever you collect a new set of fixtures, please highlight the relevant game times on each sheet, add your scoring duty roster, and distribute to each family. Please note, as a general rule, fixtures will be available from 5.00pm Monday after the last game on your current fixtures sheet. 6. End of season: Please ensure that your team acknowledges the work of their coach and thank him/her in some way. Parties or outings may be organised at the discretion of individual teams. 7. Finals procedure: If your team is in the finals, the boys registrar or assistant registrar will ring you on the Tuesday or Wednesday before the first final (and each week for as long as your team continues in the finals) to inform of your team's game time and venue
8. THE CLUB HOLDS A PRESENTATION NIGHT AT THE END OF EVERY SEASON (Winter and Summer). This night is held the day after the grand finals are played and represents the completion of the season, with trophies for premiers and runners-up being presented. Sunday, 6pm is typical. LATE STARTS/WALKOVERS/FORFEITS A team must have a minimum of four players ready to commence when the referee calls for centres and starts the clock at the scheduled game time. 1. LATE START – 1 game point is credited to the opposition for every minute or part minute that game start is delayed (up to ten minutes). 2. WALKOVER – If insufficient players do not present within ten minutes, a walkover has been given. Please note: as a walkover incurs a "walkover" fine of $50 for the club (more for a walkover in finals), a forfeit match should be arranged. 3. PLAYING A FORFEIT MATCH – This is how the club avoids a walkover fine! The coach should notify the referees, before 10 minutes has passed, that a forfeit match is to be played. "Illegal" players can be used e.g. out of age/out of grade/cross gender/adult (a minimum of four players in total is required to begin a forfeit match). All players pay $4.50 The match is scored on an official scoresheet The words "forfeit match" must appear on the scoresheet along with the explanation e.g. "forfeit match to IVE4 against E4 (insufficient legal players E3)" 4. If you won’t have sufficient players then you can bring in substitute players from a lower age group under specific circumstances and not forfeit the match. The rules for that will be available from the Registrar.
TIMING RULES The clock stops in the last 3 minutes of the 2nd half for jump balls, fouls, time-outs and substitutions. (Variations for finals will occur. These are notified.) STARTING THE CLOCK AGAIN
